In the field of facilities management, the APPA Facilities Performance Indicators survey is an essential source of benchmarking data that provides facilities managers and senior administrators with a wealth of strategic and operational data. It is designed to facilitate benchmarking and peer group comparisons.
CAUBO teamed up with APPA in 2009 to enhance the content and relevance of the survey for Canadian universities.CAUBO continues to work with the Facilities Management Committee to encourage participation and promote the use of Canadian specific standard data definitions and collection techniques, helping to improve the comparability and usefulness of the results for our members.
The survey is normally open for completion from August through mid-December. Reports are available in the spring.
To access the 2010-11 survey, open the FPI survey link and input your APPA ID and password when prompted.
If you do not have an APPA account, you may establish one by creating a new user account. For additional assistance, contact APPA staff member Christina Hills.
For non-APPA members, CAUBO has negotiated a cost of $250 US for participation. This represents a significant saving from the regular fee of $895 applicable to non-members.
If your institution is an APPA member you can participate in the survey at no additional cost.
CAUBO and the Facilities Management Committee have developed a number of resources to facilitate the completion of the survey:
The report includes background on the key indicators and outlines CAUBO’s planned initiatives to support the FPI and enhance the results. The data definitions and results were found within the report were validated at six Canadian universities. Click here to access the Pilot Report.
A discussion group for the FPI survey has been created on the CAUBO website. All interested members are encouraged to join the discussion! Simply log into the website, navigate to the Group Directory and click on the “Join” link located next to the FPI Survey Group description.

In support of this objective, CAUBO is offering a one-day workshop for FPI preparers to review and better understand the various sections of the survey, discuss recommended definitions for key data points, and compare best practice for data collection and reporting. This will be held in Ottawa on June 4, 2012; the discussion will be led by Dave Riddell, one of the authors of the report, with support from the CAUBO Facilities Management Committee and CAUBO staff.
To register online for this workshop now, click here. Please contact George Dew (gdew@caubo.ca) or Rob MacCormack (rmaccorm@mta.ca) if you would like more information.
Watch the APPA website for announcements of upcoming FPI webinars and other support.
For first-time participants the FPI survey can appear daunting. CAUBO recommends that members start with the “express” version, which limits the survey to a reduced number of core questions. In addition, not all survey modules are considered essential for national comparisons, and members may choose to only complete those recommended by CAUBO for this purpose.
Required:
Module 1: About the facilities unit
Module 2: What facilities make up our institution?
Module 3: Is my institution adequately funding the facilities management annual budget?
Recommended:
Module 4a: Operating funds – Facilities administration
Module 4a: Operating funds – Custodial
Module 4a: Operating funds – Building maintenance
Module 4a: Operating funds – Energy / utilities
Module 5: Is my institution making the right investment in existing buildings, infrastructure and academic programs?
In future years, once you have gained familiarity with the survey, you will likely choose to complete other modules to support your own institutional benchmarking.
In order to support the participation of our French institutions we have translated the APPA “help” files. The below files provide field names and detailed descriptions, in French, corresponding to each of the survey modules. This information is also available in English throughout the survey.
